For a procurement or R&D team, documentation is part of the product. This page explains what each document is and what to ask for, so you can judge a supply route before you commit.
Documents and what to ask
Certificate of analysis (COA)
Analytical results for a specific lot, such as moisture, assay, microbiology and contaminants, with the method used. Ask whether the COA is representative or for the exact lot you will receive, and which methods were used.
Technical data sheet (TDS)
The specification of the product: composition, physical properties, packaging, shelf life and storage. Confirm that the TDS matches the SKU, the facility and the packaging in the quotation.
Ingredient specification
The agreed limits for each parameter that matters to your application. Write the limits you need into the RFQ and ask what happens when a lot is outside them.
Microbiology
Results for the organisms relevant to the product and the process, often tied to a heat-treatment step. For purées in particular, ask for the heat-treatment step and the microbiology results by lot.
Origin documentation
Where the fruit was grown and processed, with traceability back to the producer or cooperative. Ask for country and region, and how lots are linked to harvests.
Organic certification
A certificate from a recognized body for a specific operator, scope and standard. Check the scope: product, facility, standard and validity date. An organic certificate for one product does not cover another.
Food-safety schemes (HACCP, FSSC 22000, BRCGS)
Certification of the facility's food-safety management system. Ask which scheme the facility holds, the certification body and the validity.
Halal and kosher
Certificates from recognized bodies for the facility and the product. Confirm the certifying body is accepted in your destination market and that the product is in scope.
Shelf life and storage
The period and the conditions under which the specification is guaranteed. Ask whether shelf life is tied to the packaging and to the storage temperature.
Packaging
Pack sizes, barrier materials and labeling for the route. Confirm the barrier structure for powders and the pack sizes for frozen goods.
Batch traceability
The ability to trace a lot from your receiving dock back to the harvest. Ask how lot numbers are assigned and what records stay behind them.

Commercial and regulatory documents required to ship to and clear in the destination. We list the documents with each quotation. Check any special requirement for your market.

No. Certificates apply to specific facilities and SKUs. We tell you before sampling which ones apply to the route we propose.
Can I audit the facility?
Facility audits and supplier questionnaires can be discussed for qualified projects. Send your requirements with the RFQ.
How do I get the documents?
